Members' Code of Conduct
This document governs the Member’s use of Vixi Fitness Limited’s gym facility (“the Fitness Hub”) and any
associated studios or fitness classes.
It should be read alongside Vixi Fitness Limited’s
Terms and Conditions of Supply.

Code of Conduct
All Members and guests must comply with this Code of Conduct at all times. Refusal or continual non-compliance with this Code of Conduct entails a breach of our Terms and Conditions of Supply and may result in the Member being ejected from the Fitness Hub and in termination of membership if applicable.
Vixi Fitness Limited reserves the right to make changes to this Code of Conduct from time to time. Any such changes will be effective immediately upon publication to our website. Copies of this Code of Conduct can be obtained from the Vixi Fitness Limited website at www.vixifitness.co.uk .
FITNESS HUB FACILITIES
Full details of normal opening hours are available on the website and on our ClubRight-supported member app. Vixi Fitness Limited reserves the right to vary normal opening hours, temporarily remove the access to certain equipment, or to temporarily close certain areas of the Fitness Hub from time to time without notice for various purposes including but not limited to cleaning, decorating, repairs, refurbishment, or for special functions and holidays.
HEALTH AND SAFETY
All Members must complete a health questionnaire (a “PARQ”) in our ClubRight-supported member app before their first session in the Fitness Hub. If any medical conditions are disclosed, Vixi Fitness Limited reserve the right to require that member to provide a GP note stating fitness to use the facilities. Vixi Fitness Limited staff are not medically trained and are therefore not qualified to assess whether the Member is in appropriate physical condition to use the facilities. Vixi Fitness Limited advises all Members to take medical advice prior to starting any exercise programme if they are in any doubt as to their ability to do so.
The Member warrants and represents upon their membership Application and repeats such warranty upon each visit to the Fitness Hub, that they are in good physical condition and know of no medical or other reason why they should not engage in any form of exercise, and that such exercise would not be detrimental to their health, safety, comfort or physical condition.
If any Member has concerns in relation to health and safety, they must report the issue to Vixi Fitness Limited staff immediately.
DRESS CODE
All Members are expected to wear suitable attire at all times while using Fitness Hub facilities. Vixi Fitness Limited considers suitable attire to be:
a t-shirt or vest; shorts or trousers suitable for training; and closed shoes suitable for training (with exceptions for certain class activities, for example, yoga classes may permit bare feet at the instructor’s discretion).
The following are NOT acceptable:
- Open shoes or bare feet, unless partaking in certain classes as above;
- No t-shirt / lack of suitable clothing;
- Jeans or other inappropriate trousers;
- Getting changed in any area other than designated changing areas.
Inappropriate attire can be offensive or intimidating to other Members, and as such will not be tolerated. Failure to comply with the dress code may result in the Member being ejected from the Fitness Hub; continued refusal to comply is a breach of this Code of Conduct, and as such Vixi Fitness Limited may terminate the Member’s membership as provided in the Terms and Conditions.
All Members should use suitable measures to maintain basic standards of hygiene, such as using deodorant, showering if needed, and wearing clean gym attire whilst training.
CONDUCT
All Members must conduct themselves in a respectful manner at all times whilst within the Business Central building and when using Vixi Fitness Hub or Business Central communal facilities. Any Member who acts in an intimidating, abusive, violent, or disrespectful manner may be ejected from the Fitness Hub, and Members may have their membership terminated with no refund of fees already paid.
All weights and equipment must be replaced correctly after use, and equipment and machines should be wiped down with the supplies provided.
Each Member will be given a personalised induction session as soon as possible after joining as a Member. During this session one of the Vixi Fitness team will introduce the new member to the equipment in the Fitness Hub and advise on correct use of the equipment. During the induction session we will also guide you on how to access our Members’ app, which is required for checking into and out of the Fitness Hub or any classes we may run.
New Members may not use the facility until they have undergone their personalised induction session.
Notwithstanding inductions, any Member who is unsure of how to use a piece of equipment (e.g. if they have forgotten or have not used that equipment for a while) is advised to seek instruction from one of the Vixi Fitness team before doing so. If no member of the Vixi Fitness team is present in the Fitness Hub at the time, please email us at vixi@vixifitness.co.uk to organise a session with one of our fitness instructors.
Vixi Fitness Limited does not accept liability where a member sustains injury from the incorrect use of equipment.
If a Member finds any piece of equipment to be faulty or malfunctioning, they must report this to a member of Vixi Fitness Limited staff immediately, either in person in the Fitness Hub, or via the Members app on their phone or desktop, or by emailing us at vixi@vixifitness.co.uk .
All Members must comply with any reasonable requests from Vixi Fitness Limited staff in relation to health and safety, and to ensure smooth running of the Fitness Hub.
No Member may bring external personal trainers into the Fitness Hub or act as a personal trainer, paid or otherwise within the Fitness Hub. Vixi Fitness Limited Personal Trainers (“VFLPTs”) have been carefully selected by us. They hold the required certification and insurance, and as such are the only personal trainers permitted to work in the Fitness Hub. VFLPTs are independent professionals, and not employees or agents of Vixi Fitness Limited.
Food and drink, other than water or drinks in a sealable water bottle, may not be brought into the Fitness Hub.
The Fitness Hub is located within Darlington Business Central, and members should be aware of other tenants in the building when accessing the Fitness Hub. Members must take care to move quietly through the communal areas of the building so as to minimise noise or other disturbances to tenants in other units.
Every Member of Vixi Fitness Hub is directly and personally responsible for their own conduct within the communal areas of Business Central and within the Fitness Hub. Neither Vixi Fitness nor Business Central accepts any liability for damage caused by Vixi Fitness Members to the building premises or contents, and both Vixi Fitness and Business central reserve the right to pursue any individual Member for any damage they cause to the building or facilities therein.
By contracting membership with Vixi Fitness, Members are consciously entering into an personal undertaking of liability, care and responsibility in respect of their access to and use of Vixi Fitness Hub facilities as well as in respect of their access to and use of the Business Central building and those facilities within the Business Central building that are necessary for the Member to use or transit through in order for the Member to use the Fitness Hub.
Members may bring a small bag into the Fitness Hub. This must be stored in one of the indicated cubby spaces in the storage unit in the Hub. Vixi Fitness Limited accepts no liability for members’ personal effects during the use of the Fitness Hub. We advise members to leave valuables and other personal effects safely stored elsewhere outside of Fitness Hub wherever possible.
There are lockers available in the shower suites at Business Central. Please speak to the Front Desk staff to request use of a locker; the lockers are not part of the Fitness Hub facilities and Vixi Fitness can not provide these to you.
Members may use the toilets situated in the corridor between the Atrium and the Fitness Hub and may also use the shower located in the same corridor. These facilities will be shown to you as part of your induction session when taking up your membership. Please note that these facilities are under the management of Business Central and not Vixi Fitness Limited.
On joining, Members who are employed by tenants of Business Central will have their existing Business Central access card upgraded to allow them access into the Fitness Hub. Should the member cancel their gym membership, the access card will be reprogrammed to remove access to the Fitness Hub.
Members employed by tenants of Innovation Central or by CPI will be issued with an access card from Business Central reception to allow access to the building and the Fitness Hub. Should the member cancel their gym membership, the access card must be returned to Business Central reception so it can be cancelled. Vixi Fitness retains the right to levy a charge on members for cards not returned promptly upon cancellation of membership.
Should members cease to be employed by their Business Central or Innovation Central tenant, or CPI, they must inform Vixi Fitness of this as soon as possible upon the termination of their employment. In such instances, Business Central access cards programmed with access to Vixi Fitness Hub must be returned to Business Central on or before the last day of employment, without exception.
Unless notice is given in writing, Vixi Fitness memberships will not be cancelled, and Vixi Fitness retains the right to continue to process direct debits in respect of membership throughout the duration of the current contracted membership term.
Members cancelling with notice due to a change of employment away from Business Central, Innovation Central or CPI may request an early termination of their direct debit arrangement. Such requests will remain at the discretion of Vixi Fitness Directors and will not be granted in cases where a membership access card has not been returned to Business Central reception.
On accessing the Fitness Hub itself, all members must check in to the facility using the QR code on the home page of their members app. We ask members to also check out; if you do not check out with a QR code, the system will automatically mark you as checked out after a maximum of 120 minutes following your check-in time.
DAY GUESTS
Any Guests to Vixi Fitness Limited premises are required to sign in at reception. Guest visits are at Vixi Fitness Limited's absolute discretion, and availability may be restricted at peak times. Vixi Fitness Limited reserves the right to charge a Guest Fee for all non-Members wanting to use Fitness Hub facilities.
All Guests are required to provide photographic identification, and failure to provide this may result in the Guest being denied entry to the Fitness Hub.
All Guests agree to abide by this Code of Conduct, and failure to do so may result in the Guest being ejected from the Fitness Hub.
FACILITIES
All Members must exit the premises no later than the Fitness Hub closing time.
No food or drink should be consumed in the Fitness Hub, other than drinks in sealable containers. No cans of drink may be brought into the Fitness Hub.
Alcohol and illegal substances are prohibited from being brought into and/or consumed on the premises; any Member under the influence of alcohol or illegal substances or suspected of being under the influence of alcohol or illegal substances may be ejected from the Fitness Hub. Smoking and vaping are prohibited in the Fitness Hub and in Business Central at all times.
CLASSES
Vixi Fitness Limited timetables, instructors and classes are subject to change at any time. Vixi Fitness Limited will endeavour to provide notice when a class is unable to take place for any reason.
Members are recommended to book in advance to ensure that a class has space for them. Members can book online from 08:00 am, 14 days in advance of the class.
A Member cannot book onto classes that overlap each other. Vixi Fitness Limited operates a "three strikes" non-attendance rule, whereby three no-shows in any 30-day rolling period will result in a one-week advance booking restriction.
A Member must cancel a class booking at least one hour in advance of the class to avoid receiving a strike. If the class begins at full capacity then Vixi Fitness Limited will waive this strike.
If a class is full a member can book onto a waiting list. An email will be sent confirming the Members place on the waiting list. When a space becomes available members will be automatically moved into the class and notified via email.
Once on a waiting list and having been notified of an available space in the relevant class, Members must still book into the class. Our systems will not auto-book members into classes.
If a member can no longer attend a class for which they are on the waiting list, they must remove themselves from the waiting list.
Participants booked into class should arrive and be ready not later than 5 minutes before class start time. If a participant arrives late, the booking is automatically removed from the class and opened up for other members at the class start time. If the Member arrives late and there is a space still available, the Member must book back into the class to avoid a booking ban, otherwise a strike will be applied.
MEMBERS APP & CARD
Our free downloadable ClubRight app is available for both Apple and Android devices. This features a QR code on the home page which members must use to check into the Fitness Hub or any classes provided by Vixi Fitness Limited or their associate instructors, on arrival at the hub or at the start of the relevant class.
A Member may not loan their membership app or access card or permit the use of either or both of these by any other person. Such misuse will result in immediate cancellation of membership with no refund of membership fees already paid.
LOST PROPERTY
The Fitness Hub does not have lockers. Members are advised to bring as few personal effects as possible into the Hub, or make use of a locker in one of the shower suites at Business Central.
A limited number of cubbies within the storage shelves in the Fitness Hub are designated for member’ personal effects. All personal belongings are the responsibility of the member at all times, and Vixi Fitness Limited accepts no liability for member’ belongings left in these cubbies.
Any property found left unattended in the Fitness Hub will be kept for a reasonable period and then may be donated to charity.
Vixi Fitness Limited accepts no responsibility for loss, theft or damage in respect of any member’s personal belongings brought into the Fitness Hub, unless Vixi Fitness Limited is shown to have been negligent.
Vixi Fitness Limited strongly recommends Members should avoid bringing valuable items to the Fitness Hub wherever possible.
PHOTOGRAPHS AND PUBLICITY
Upon purchasing one of Vixi Fitness Limited’s membership packages, the Member consents to having their photograph taken by Vixi Fitness Limited or to upload a recent portrait image of themselves to their profile in the ClubRight app. This image will be used to confirm the member’s identity upon entry. This image will also as a profile picture on the member’s own homepage of the member app.

Members can fill in the feedback form on our website, or email Vixi Fitness Limited at vixi@vixifitness.co.uk. Please provide the Member’s name, home address and details of the Member’s membership.
